Event and Travel Coordinator

We’re looking for a highly skilled Event and Travel Coordinator to make Experior events effective, cost-efficient, and most importantly, memorable. The ideal candidate will have his or her hands full evaluating and negotiating with potential vendors, and managing communications with guests, speakers, and stakeholders. Above all, he or she will be comfortable in a role that demands a creative, business-driven mindset and lasting relationships with vendors.

Objectives of this Role:

  • As a team member of the Marketing department, you will collaborate and oversee the planning and execution of all company events, both virtual and in-person
  • Oversee all travel requirements needed for the company
  • Drive the company’s mission by always representing our vision in every event
  • Always keep financials and timelines under control
  • Make sure all Compliance regulations are followed

Daily and Monthly Responsibilities:

  • Gain a complete understanding of the requirements for each event
  • Research vendors and make selections based on creativity, quality, and cost
  • Book venues and schedule guests, which includes contract drafting and confirmation and day-of logistics
  • Day-to-day administration of events and programs including placing orders, monitoring vendors, travel planning, reservations, facilitating company attendees, monitoring registration, tracking RSVPs, answering questions, and resolving issues
  • Manage ticket inquiries and sales for events
  • Research and compare available travel and hotel accommodations to identify the best available option if travel is needed
  • When travel arrangements are within approved travel reasons and budget limits, make all arrangements and reservations as requested
  • Prepare travel itineraries and distribute travel arrangements and schedules to all appropriate staff
  • Obtain approval from leadership for travel requests and expenses that exceed established limits
  • Perform other related duties as assigned.

Skills and Qualifications:

  • Education in event management, hospitality management, public relations or travel and tourism administration considered an asset
  • 2+ years proven experience in event planning and travel coordination in a corporate environment
  • Track record of creative, successful events
  • Experience working with colleagues in graphic design, sales, and marketing considered an asset
  • Excellent organizational, communication, negotiation, and multitasking skills
  • Ability to remain calm under pressure without losing a customer-service oriented attitude
  • Experience managing budgets and expense tracking
  • Experience managing travel requirements
  • Knowledge of Word, PowerPoint, Adobe Acrobat, and Excel
  • Strong working knowledge of the travel industry considered an asset
  • Excellent decision-making skills with the ability to assess multiple options and to identify the best choice to serve a specified goal.

Starting salary at $50,000
